Job Description

Provides professional administrative, office, and financial support to the site. Owner of office procedures to ensure that routine administrative tasks are completed. Accounting/Finance Process accounts and incoming payments in compliance with financial policies and procedures. Perform day to day financial transactions, including verifying, classifying, computing, posting and recording accounts receivables data. Prepare invoices and bank deposits. Reconcile the accounts receivable ledger to ensure that all payments are accounted for and properly posted. Verify discrepancies by and resolve clients billing issues. Facilitate payment of invoices due by sending bill reminders and contacting clients. Generate financial statements and reports detailing accounts receivable status. Maintain credit insurance program. Participates in various meetings, including weekly accounting meetings. Prepares routine reports utilizing various software packages. Administrative Support Plans and schedule meetings using scheduling software. Performs general administrative tasks including travel, lodging, car rental, and global cell phone usage coordination, restaurant and activity reservations, procurement of office supplies, answering and transferring calls and as needed taking detailed messages on a multiline phone system. Focal point for on-site visitors Greet visitors at the door and assist with meeting logistics. Maintains site safety and security log. Assists with site event coordination. Completes credit applications and other necessary documents/forms. Assists with other needs and issues as needed.

Job Requirements

Bachelor’s degree (preferred) and 3 – 5 years of Administrative/Accounting/Finance experience (equivalent experience will be considered in lieu of degree) Microsoft office Products, specifically excel Preferred Skills: Exceptional time management and organizational skills Ability to work well under pressure and strong interpersonal/communication skills Exceptional technology skills, particularly with Microsoft Office products
