Job Description


Supports manager with inventory, accounts payable and accounts receivable reconciliation, assist in scheduling clinical and support team and various administrative duties as well as oversight and facilitation of the reception functions such as check clients in and out, answer the telephone and take reservations and work with the manager/consultant managing lead capture.


Duty 1: Manages purchase orders and inventory receiving including entry into POS system, managing minimums and maximums and merchandising retail inventory appropriately.

Duty 2: Assists manager in creating staff schedules, track time off including sick, holiday and vacation.

Duty 3: Liaison with BVHS finance department providing AP and daily reconciliation of receipts.

Update daily worksheets to forecasted goals.

Duty 4: Promote a professional and welcoming atmosphere that enhances the quality of service and care offered to the clients.

Duty 5: Have a thorough working knowledge of all standard operating procedures, protocols and policies that pertain to the company.

Duty 6: Insure that all clients receive exceptional service and have a comfortable and pleasant experience.

Duty 7: Create a professional relationship with the clients using good verbal and non-verbal communication. Promote return visits.

Duty 8: Conduct the following duties in accordance with standard operating procedures:

* Confirm and schedule client appointments and packages.
* Check in/check out all clients.
* Answer and handle all telephone calls.
* Carry out all cashiering processes.
* Process all outgoing mail.
* Perform all opening/closing procedures according to the assigned checklist.

Duty 9: Maintain knowledge of all technician techniques, services and packages. Know and use all sales scripts and presentations.

Duty 10: Have a thorough knowledge of all products used to perform the services.

Duty 11: Continually work on your personal sales skills including: building instant rapport, client needs assessment, feature and benefit presentation, overcoming objections and closing skills.

Duty 12: Build client partnerships by appropriately matching client needs to the various services and products offered and clearly educating the client on how they will receive the most benefit.

Duty 13: Learn all current promotions and offer them to new and existing clients to stimulate sales during the promotional period.

Duty 14: Utilize confirmation calls and post treatment consultations as up-sell and cross-sell opportunities.

Duty 15: Always consult with clinical staff on proper treatment protocol for various skin types and medical conditions

Duty 16: Maintain a neat and orderly work area at all times.

Duty 17: Have thorough knowledge of all skin care and cosmetic products in order to answer any client or member questions.

Duty 18: Perform inventory responsibilities as requested.

Duty 19: Attend all in-house training programs.

Duty 20: Facilitate laundry (washing, drying, and folding) on an as needed basis.

Duty 21: Communicate in a friendly and professional manner. Quick and timely responses to personal or phone inquiries from clients is required.

Duty 22: Cleanliness is a priority to everyone. Minor cleanups should be completed on the spot, whereas more serious cleanups should be reported immediately.

Duty 23: Safety is every employee’s responsibility. All employees are expected to report any unsafe conditions of any nature either within the facility or on the property to management.
