Poggemeyer Design Group, a Kleinfelder Company, is currently searching for an Administrative Associate to join our team in the Bowling Green, Ohio office.
We are looking for an Administrative Associate primarily responsible for managing our front desk on a daily basis and to perform a variety of administrative and clerical tasks. As an Administrative Associate, you will be the first point of contact for our company and will be expected to offer administrative support across the organization. You will welcome guests and greet people who visit the business. You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls. To be successful as an Administrative Associate, you should have a pleasant personality, as this is also a customer service role. Ultimately, an Administrative Associate’s duties and responsibilities are to ensure the front desk welcomes guests positively, answers phones professionally with a pleasant personality and executes all administrative tasks to the highest quality standards.  You must be able to multi-task while covering the front desk and answering phones.

Greet and welcome guests as soon as they arrive at the office
Direct visitors to the appropriate person or conference room
Answer, screen and forward incoming phone calls
Ensure reception area is tidy and presentable
Provide basic and accurate information in-person and via phone
Receive, sort and distribute deliveries
Order front office supplies and keep inventory of stock
Update conference room calendars
Post all U.S. mail, UPS/Fed Ex, send packages/mail to our other locations
Perform other clerical receptionist duties such as filing, photocopying, typing, spreadsheets

Resource Assistant
Pull reports from our system
Analyze reports and perform excel functions to meet the needs of the engineer’s requests
Monitor projects / provide reports on budgets

Job Requirements


Proven work experience as a Receptionist, Front Office Representative or similar role
High Proficiency in Microsoft Office Suite
Hands-on experience with office equipment (e.g. fax machines, printers/scanners, postage)
Professional attitude and appearance
Solid written and verbal communication skills
Ability to multi task (answer phones while also running reports and analyzing data)
Ability to be resourceful and proactive when issues arise
Excellent organizational skills
Multitasking and time-management skills, with the ability to prioritize tasks
Customer service attitude
