Enrollment Coordinator at Heidelberg University

GENERAL PURPOSE: Reporting to the Assistant Director of Admission, the Enrollment Counselor position will be responsible for the recruitment of traditional and/or non-traditional domestic students from a designated territory and under a designated set of academic majors.  This position will also be a significant contributor to obtaining targeted goals in recruitment, application, and admission.

SUPERVISION RECEIVED: Reports to the Director of Admission. 

SUPERVISION EXERCISED: The Admission Counselor will work collaboratively with Enrollment Management staff and may offer general oversight to student employees as needed for successful outcomes.

ESSENTIAL DUTIES AND RESPONSIBILITIES: Coordinate outreach and student recruiting to include:

  • Identifying students from an assigned territory and major who meet the desired admission qualifications of the University.
  • Developing recruitment strategies for growing prospective student applicants and enrollment
  • Selecting, scheduling, arranging, and completing visits to high schools, college fairs, and select recruiting events.
  • Work closely with parents, high school guidance counselors, and alumni throughout all outreach efforts.
  • Collaborate with financial aid staff to understand financial aid packaging and communicate with students and families with the goal of their understanding of all parts of the financial assistance offered by Heidelberg.

Develop and maintain continuous communication with prospective students via phone, written correspondence, text messaging, and social media.

Manage student inquiries and applications; Counsel prospective students and their family members on how Heidelberg University fits their needs by accurately representing Heidelberg’s history, policies, programs, activities, costs, etc., through phone calls, on-campus interviews and tours, or off-campus meetings.

Review all applications within an assigned territory, including student transcripts, academic records, standardized test results, and participating in extracurricular activities to assess future student success with Heidelberg University.

Extensive personal contact with prospective students is required.

Preparation of detailed trip / recruiting activity reports, including all expenses, and submit as required.

Other responsibilities as assigned by the Assistant Director of Admission and/or VP for Enrollment Management.

WORK ENVIRONMENT:The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. 

While performing the duties of this job, the employee frequently works in an office setting, and educational facilities including sports and entertainment venues, all of which may be indoor or outdoor.  The noise level in the work environment will range from moderately quiet to occasionally loud.

SELECTION GUIDELINES: The Admission Counselor will be selected after a formal application procedure, education and experience rating, oral interview, and reference check.  Job related tests may be required.  All offers of employment are contingent upon a satisfactory criminal background screen, motor vehicle record search, drug and alcohol screen, physical and / or psychological examination at the University’s discretion.

The employee must frequently lift and/or move up to ten (10) pounds and occasionally lift and/or move more than fifty (50) pounds.  Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.  Mental demands include varied degrees of occasional stress while performing job duties.

Job Requirements

DESIRED ATTRIBUTES AND QUALIFICATIONS:

Education and Professional Experience:

(A) Bachelor’s degree; and,

(B) One (1) to Three (3) years successful experience in a recruiting and/or admission setting; and,

(C) A valid driver’s license.

 

Preferred Education and Experience:

(A) Previous experience in a small, liberal arts institution; and,

(B) Working knowledge of Slate CRM.

Necessary Knowledge, Skills, and Abilities:

  • Outstanding interpersonal communication and public speaking skills.
  • Strong organizational and analytical abilities.
  • Excellent attention to detail.
  • Ability to be flexible and adapt to changing circumstances.
  • Computer competency on word processing and database software.
  • Ability to perform job duties, including decision-making, independently and skillfully as well as be an effective member in a team environment.
  • Ability to work evenings and weekends and travel extensively during the fall and spring.
  • Ability to work with a diverse cross-section of individuals.

TOOLS AND EQUIPMENT USED: Knowledge of operation and use of various office equipment including, but not limited to:  personal computer, including spreadsheet and word processing software, integrated database software, fax machine, copier, telephone, scanner, and printers.  Employees in this position must have a valid driver’s license. 

PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this position. 

While performing the duties of this job, the employee is frequently required to use arms, hands and fingers to operate and manipulate equipment generally found in an office setting.  The employee may be frequently required to be mobile, communicate, and hear.  The employee may occasionally be subject to a variety of outdoor environmental conditions including heat, cold, and precipitation.
