Job Description

Position Summary

The Biological Sciences Manager coordinates day-to-day operations within the department (in consultation with the chair) and assists with implementing decisions across campus.  Thus, the Manager leads many departmental communications across campus, maintains all personnel records for faculty and staff, and supervises departmental office staff.  Primary among these tasks is the scheduling of classes for a large department with a large service load requiring interactions among faculty within the department and coordination among departments to schedule courses without major conflicts, including linked courses.

Essential Duties, Tasks and Responsibilities

  • Assistant to the Chair, includes the following:  1) assumes responsibility in his absence relative to day-to-day departmental operations; 2) liaison between chair and University administrators, faculty, administrative and classified staff, 3) interprets and implements policies, decisions and directives; 4) maintains personnel records/files for all departmental faculty and staff; 5) prepares agenda, records minutes and calls meetings for various departmental committees; 6) maintains chair’s calendar, prepares correspondence, confidential documents and directives for the chair; 7) approves departmental expenditures in FMS and has budget administrator authority.  Manages travel budgets for the department and maintains individual travel budgets for faculty and graduate students. Oversees and manages departmental foundation accounts, including approving disbursements from these accounts.
  • Manages course scheduling, including enrollment decisions; coordinates/assigns teaching schedules, classroom scheduling and maintains all pertinent records (course enrollments, faculty teaching loads, etc.).
  • Directly supervises three full-time permanent classified staff, including hiring, training, evaluating, counseling, authorizing leaves.  Approves and signs time sheets and oversee work of five additional classified and administrative staff.
  • Supervises collection of material for annual faculty/staff merit deliberations and oversees the collection of materials/credentials for faculty promotion and tenure evaluations.  Collect materials/credentials for annual evaluations of staff and probationary faculty.  Oversees for the collection and processing of teaching evaluation data.
  • Manages departmental student employee process, including posting positions, processing paperwork for hiring/evaluation of up to 50 student employees for individual faculty, numerous research grants, and departmental centers (EM facility, greenhouse, micro prep. room facility, etc.)
  • Prepares reports for:  1) annual report; 2) departmental handbook; 3) faculty teaching evaluations; 4) enrollment/grade distribution reports; 5) course verification and special course lists; 6) various reports requested by University administrative offices (compact, strategic planning document, etc.).  Participate in the development of the department newsletters, public relations/news releases and correspondence.
  • Oversees search committee functions for faculty/staff searches.  Includes preparation of candidate files, placing advertisements in appropriate venues, set up interview schedules for candidates, make travel arrangements, prepare all correspondence relative to searches.
  • Supervise annual departmental scholarship application/award process.  This includes preparation of applications, communication with potential applicants/recipients/donors, processing applications for evaluation; work with Foundation office regarding funds availability/awarding/etc.
  • Develop, coordinate and administer special projects; research, analyze and evaluate procedures and policies and make recommendations for updating operations, policies, etc.

Knowledge, Skills or Abilities

  • Ability to interact with a diverse group of users
  • Interface with administrators, chair, faculty and students
  • Knowledge of university operating procedures and personnel responsibilities
  • Excellent organizational skills and ability to conduct multi-level problem solving
  • Experience with human resources would be very helpful

Job Requirements

Minimum Qualifications

Bachelor’s degree required in Business, Management, Human Resources or related field.  Degree must be conferred at the time of application.

The following experience is required:

  • 2 years’ experience in project coordination/management;
  • 2 years of supervisory responsibility
